A dashboard with twenty numbers is not automatically more useful than a report with three. More information is not the same as a clearer decision.

The better starting question is: What are you trying to understand or decide?

Match the question with the tool

  • Were all sales recorded? Compare POS activity, merchant deposits, cash records and QBO.

  • Is payroll being prepared for? Review incoming cash, the payroll schedule and allocations.

  • Where did the money go? Use current, reconciled and consistently categorized QBO books.

  • Was the month profitable? Review the P&L.

  • Why did cash change differently from profit? Review both the P&L and balance-sheet activity.

  • What should change next? Complete a short monthly financial review.

Three numbers to bring into focus

For many coffee and tea shops, a useful starting set is gross margin percentage, payroll or labor percentage and net profit percentage.

These numbers should not be treated as universal grades. A café with food preparation, a quick-service coffee bar and a tea shop can have different cost structures. Owner labor, location, wages and accounting definitions also matter. A benchmark is a question to investigate - not an automatic verdict.

Why QBO organization matters

If POS deposits are recorded incorrectly, payroll is inconsistently classified or direct product costs are mixed with general expenses, the percentages may be misleading. Useful review begins with useful bookkeeping.

What to do now

Open your latest P&L and ask whether you can calculate the same three percentages consistently for this month and the previous month. If not, the next step may be improving the bookkeeping structure rather than adding another report.
