
Coffee Shop Cash Flow Management in Four Stages | Virtue Bookkeeping
You do not need a corporate finance department to understand your cafe. You need a few dependable questions - and a system that knows where to find the answers.
1. Money In: What came in?
Money In is not only total sales. It includes the sources and movement of revenue: POS sales, cash, online orders, tips and gift-card activity.
Accurate Money In records help you review revenue growth and gross margin. They also help answer the cash question: Is the money in the bank, drawer, safe or still moving through a processor?
2. Allocations: What does the cash need to do?
Allocations give available cash a job before day-to-day spending consumes it. Those jobs may include payroll, vendors, rent, sales tax, debt, owner compensation and reserves.
Allocating cash on time does not guarantee that enough cash exists. It makes the obligation visible and can reveal a shortage before payday or a due date becomes an emergency.
3. Money Out: Where did it go?
This is the bookkeeping stage. Accurate, consistent QBO records organize sales, cost of goods, payroll, operating expenses and balance-sheet activity so the reports can answer useful questions.
The P&L shows performance, but not every use of cash. Loan principal, equipment, owner distributions and reserve transfers may explain why the bank balance changed differently from profit.
4. Review: What should change next?
Review is where the cycle becomes leadership. Compare what you expected with what happened. Look at the key numbers, find the stage needing attention and choose one decision for the next month or quarter.
