Where Is Your Cafe's Money Right Now?

When you open your banking app, you see one number. That number can bring relief - or an immediate knot in your stomach.

But a coffee shop bank balance does not tell the complete story. It cannot tell you what is still in the cash drawer, what is moving through the card processor, what belongs to sales tax or what will soon be needed for payroll and vendors.

Why the money feels scattered

Coffee and tea shops receive and move money through several places: POS card sales, cash, online orders, gift cards, tips, refunds, merchant deposits and sometimes multiple bank accounts.

Common blind spots include:

  • Card deposits recorded as sales without separating processing fees.

  • Cash used directly from the till before it reaches the safe or bank.

  • Gift-card sales or redemptions treated inconsistently.

  • Refunds, voids or tips that create differences between the POS and QBO.

  • Upcoming obligations mentally overlooked because cash is visible in the bank.

Map before you fix

A financial-flow map follows the money from the moment the customer pays until the transaction is recorded and reviewed. The purpose is not to make the business more complicated. It is to make the invisible steps visible.

Ask these four questions:

  • Where did the money enter?

  • Where is the cash physically or electronically located now?

  • What is it already needed for?

  • How will its movement be recorded in QBO?

Once the journey is visible, you can find missing records, unclear responsibilities and timing gaps. You can also see whether the problem belongs to Money In, Allocations, Money Out or Review instead of trying to fix everything at once.

What to do now

Choose one week of activity and trace it from the POS report to the merchant deposit, cash record and QBO. If the path breaks somewhere, you have found the first process to improve.
