Coffee Shop Profitable but Short on Cash? Here is Why

Your coffee shop can be busy. Sales can be coming in. Your Profit and Loss report can even show a profit.

And yet, you may still open the banking app and wonder: Where did the money go?

This does not automatically mean your reports are wrong or your business is failing. It often means that profit and cash are being asked to answer the same question - even though they tell different parts of the story.

Profit and cash are connected, but not identical

Your P&L shows whether the business earned more than its recorded costs during a period. Your bank balance shows cash at a particular moment, but it does not explain what that cash is already needed for.

Cash may also leave the business for reasons that do not appear as expenses on the P&L, including loan principal, equipment purchases, owner distributions, inventory timing or transfers into reserves. That is why a profitable month does not automatically mean the same amount is available to spend or pay to the owner.

The missing connection
